Procurement stage gates / no invented lead time

Water Filling Machine Procurement Project Timeline

Plan the project by evidence gates rather than a universal week count. The actual duration depends on configuration, approvals, materials, test samples, shipping and site readiness.

01

Gate 1 — requirement and supplier basis

Freeze the main container, cap, good-output requirement, supply boundary, site conditions and decision roles before comparing offers.

  • Buyer requirement revision
  • Supplier identity and capability review
  • Common quotation basis
  • Decision owner and approval record
02

Gate 2 — technical and commercial release

Close material deviations and connect the chosen price to an approved technical scope.

  • Signed technical proposal
  • Interface and responsibility matrix
  • Document and spares register
  • Payment, trade term and change-control process
03

Gate 3 — engineering, manufacture and FAT readiness

Track approval drawings, long-lead components, bottle/cap samples and the FAT protocol as separate prerequisites.

  • Approved layout and utilities
  • Interface and component approvals
  • Test-material quantity and delivery
  • FAT protocol, witnesses and acceptance tools
04

Gate 4 — release, delivery and site acceptance

Separate FAT completion, deviation closure, packing release, shipping documents, site readiness, commissioning and final acceptance.

  • FAT result and shipment-release record
  • Packing and shipping evidence
  • Site-readiness sign-off
  • Commissioning, training and final open items

Questions and answers

How long does a water filling machine procurement project take?

There is no responsible universal duration. It depends on machine configuration, approval cycles, component availability, buyer-supplied samples, FAT scope, packing, shipping route, customs and site readiness. Ask the supplier for a project-specific milestone schedule.

Which milestone should control the purchase order release?

Release only after the commercial offer is tied to an approved technical proposal, deviations and interfaces have owners, and the change-control, acceptance and deliverable basis are written.

Should FAT completion and shipment release be one milestone?

Keep them separate. FAT can finish with open items; shipment should be released only by the agreed authority after those items are closed or formally accepted.

Stage-gate schedule

Measure readiness by evidence, not a copied week count.

A procurement schedule should show the dependency and approval needed to enter each phase. Suppliers can then provide project-specific dates without the website inventing a universal lead time.
