Multi-format purchase / changeover evidence

Water Filling Machine Changeover Time: What Must a Supplier Demonstrate?

A short changeover time is useful only if it covers the work your team must do. Ask the supplier to name the starting and finishing bottle/cap formats, the parts and people involved, and the point at which acceptable production resumes. Separate hardware replacement time from the full agreed interruption; otherwise two attractive time claims may describe different jobs.

01

Specify transitions, not just a list of bottle volumes

Begin with already identified bottle/cap combinations. Write each required transition as A to B, with drawing revisions, fill requirement and agreed good-output basis for B. Do not assume B to A takes the same work. Tell the supplier which transitions are frequent and which are occasional, so the offer can identify the required format sets and any unassessed combinations.

  • Separate a body-height change, a neck/closure change and a change involving both; ask what differs in each case.
  • Keep compatibility approval separate from changeover demonstration: an approved bottle does not establish a timed transition.
  • Name the machine boundary. An upstream or downstream adjustment is not included unless the offer says so.
02

Obtain a parts and responsibility schedule with the quotation

For every transition, request part references, quantities, required tools, setting or recipe references, storage identification and the tasks assigned to the operator or supplier technician. Mark each item included, optional, buyer supplied or unresolved. Tool-free means a specified task avoids a tool; it does not by itself establish automatic adjustment, zero manual work or a complete changeover duration.

  • Ask whether the quoted sets cover every ordered format and whether future-format engineering is excluded.
  • Distinguish stored recipes from physical adjustments and first-off checks that still require a person.
  • Identify training, manuals and safe-access requirements through the supplier's approved procedure; this is not an operating instruction.
03

Agree a clock boundary that includes the relevant restart checks

Define the start event and finish event in writing. One possible project basis runs from the last acceptable A bottle to an agreed, demonstrated acceptable-output condition on B. The technical team must set that condition and observation period; this page does not supply a universal standard. Record how cleaning, safe isolation, preparation, adjustment, rejected bottles and quality checks are treated rather than silently removing them.

  • Hypothetical comparison: one offer times only part replacement; another includes inspection and production restart. Their headline minutes are not directly comparable.
  • Record elapsed time separately from labor: two people working concurrently do not double elapsed minutes, but their work still affects staffing needs.
  • Keep excluded preparation visible, including parts pre-positioned before timing. Never shorten a demonstration by omitting required safety or hygiene procedures.
04

Reconcile incomplete demonstrations before comparing the headline minutes

When suppliers report different changeover times, first reconstruct what each demonstration actually included. Request a timeline showing preparation before the stop, work during the interruption, first-off inspection and the agreed return-to-production event. Link each event to the same clock or an explained time reference. Mark off-camera work, pre-positioned parts, extra technicians and pauses instead of filling gaps with estimates. If the evidence does not identify the finish condition, the result remains unverified for that condition; a polished video is not a substitute for the missing record. Ask for clarification or a targeted repeat of the disputed transition before using the duration in your purchase comparison.

  • Separate an equipment limitation from missing evidence: an incomplete record does not by itself prove that the machine failed, but it cannot demonstrate the claim either.
  • Do not average times with different start/finish events. Keep elapsed interruption, preparation and labor visible without adding overlapping activities twice.
  • Record a failed first-off inspection and its corrective work. Ask what must be demonstrated again and whether the required person or part is included in the offer.
05

Require a repeatable result and close the missing evidence

Observe the named transition with the contracted parts, approved packaging and agreed crew assumptions. Retain timestamps, settings, stops, rejected bottles, first-off results and the evidence supporting the finish condition. A first acceptable bottle is not the same as sustained acceptable output. If specialist help or an unquoted part is needed, record it as a limitation to resolve before accepting that claim.

  • Ask for repeat demonstrations where the agreed plan requires them and retain unsuccessful attempts as well as the final result.
  • List transitions not demonstrated, unavailable interfaces and site-only checks with an owner and closure gate.
  • Send Mr Kcal your transition list, current quotation exclusions and the proposed timing basis to discuss a documented machine-specific scope.

Questions and answers

What is a good changeover time for a water filling machine?

There is no useful single number without the exact transition, configuration, crew, start/finish events and quality conditions. Request a time for your agreed scenario and the underlying demonstration record. A catalog figure is not a promise for every bottle.

Does automatic recipe selection mean no change parts are needed?

No. A recipe may restore settings while guides, handling parts or closure-related components still need attention. Ask the supplier to separate software-controlled changes, manual adjustments and physical parts for each transition.

Should cleaning time be included in the changeover comparison?

State the treatment explicitly and apply the same boundary to every offer. If cleaning is recorded separately, show that time and responsibility alongside the mechanical change. Never interpret an exclusion from the timer as permission to omit a required cleaning step.

The supplier's video shows only the mechanical change. Can I use its time in my comparison?

Only label it as the recorded mechanical interval. Request the missing preparation and restart-quality evidence before comparing it with a supplier who times the full agreed interruption. If those records are unavailable, keep the broader duration unconfirmed rather than inventing a conversion factor.
