Controlled document handover

Technical Documentation and Machine Manuals

Replace “manuals included” with a document register that names every file, revision, language, editable/native format, owner, approval state and delivery gate.

01

Identify every deliverable

Assign a document number, title, responsible party and applicable equipment tag so operators can connect the file to the delivered machine.

  • General arrangement and utility schedule
  • Electrical, pneumatic and piping schematics
  • Operation, maintenance and troubleshooting manuals
  • BOM, wear parts, critical spares and certificates
02

Control revision, format and language

PDF is useful for issue control, while editable/native files may be needed for approved maintenance and backup. State both requirements and access limitations before order.

  • Document and machine revision
  • Required language
  • PDF plus agreed native/editable format
  • Software version, password/access and ownership limits
03

Attach deliverables to project gates

Not every file is useful if first delivered after the decision it supports.

  • Approval: layouts, utilities and interfaces
  • Pre-FAT: protocol, manuals and draft lists
  • Shipment: final records, packing and backups
  • SAT/final: corrected as-built dossier and open-item closure
04

Verify software and backup recovery

Record the delivered PLC/HMI program version, hardware target, backup media, access method and restoration instruction. Where feasible, witness a controlled backup or restore check.

  • PLC/HMI project and version
  • Drive and device parameter backups
  • Licenses, passwords and access responsibility
  • Restore method, test result and storage owner

Questions and answers

Which documents should come with a water filling machine?

The project-specific register commonly covers layouts, utility and interface schedules, electrical and pneumatic schematics, manuals, parts and spare lists, certificates within scope, FAT records, packing records and agreed PLC/HMI or device backups.

When should machine manuals and drawings be delivered?

Issue decision-critical files before approval or FAT, shipment-critical files before release, and corrected as-built files after site changes. Put each required version and gate in the contract register.

Is a PDF manual enough for machine handover?

Not always. PDF supports controlled reading, while approved maintenance may require native drawings, software projects, parameter backups, licenses or restoration instructions. Define the required formats and access rights before order.

Document register

Make the handover searchable, restorable and gate-controlled.

A document package is complete only when the buyer can identify the applicable machine and revision, open the required language and format, locate parts and safely recover agreed control backups.
